How to compare 3PL quotes (without getting fooled by the headline price)
Two quotes with different structures can't be compared by looking at one number. Here's how to put them on the same footing.
1. Send every 3PL the same order profile
Give each one the same facts: orders per month, average items per order, number of SKUs, product size and weight, how many pallets or bins you'll store, inbound shipments per month, expected returns, and where your customers are. A quote built on a different profile isn't comparable.
2. Get the full rate card
Ask for every fee in writing: receiving, storage, pick & pack, extra items, packaging, account fees, minimums, returns, setup and long-term storage. Use the hidden fees list as your checklist. A blank line means "ask", not "free".
3. Turn each quote into one monthly total
Multiply each fee by your volume and add them up. Then divide by your orders to get a cost per order. If a monthly minimum is higher than what you'd spend, the minimum is what you pay. The quote comparison sheet does this for up to three quotes side by side.
4. Compare postage separately
Shipping is often the biggest cost and depends on warehouse location and the 3PL's carrier rates. Ask each 3PL to rate a sample of your real recent orders. Warehouse location matters: see the shipping-zone helper.
5. Compare what's not a price
- Order cutoff time and receiving speed
- Integrations with your store platform
- Liability limits and contract term (see the contract checklist)
- Whether they're a fit for your order size: some 3PLs publish minimums that small brands won't meet
6. Re-run it at your expected volume
Many rates are tiered. Check the total at today's volume and at the volume you expect in 6–12 months.
